The possibilities with Employee e-ID

Employee e-ID is the employees’ digital identity at work and a flexible tool for digital work tasks. Employee e-ID is a valid credential issued to the person, but identifies the role as an employee and is managed and owned by the employer. The e-ID is approved at the highest security level in accordance with Norwegian public requirements and EU legislation eIDAS 2.0.

An Employee e-ID can be used for far more than youital reporting and signing on behalf of the employer. By adding the e-ID to the access card, the company can combine several security needs at the same time. Reporting

The employee e-ID can be used for reporting to public services, also where the employee otherwise uses their private e-ID, such as at Altinn.

Digital signing

Use the Employee e-ID to digitally sign documents, agreements or tenders. Signing with the Employee e-ID obligates the business, not the employee.

Access control

Employee eID is compatible with Microsoft AD and increases security through S/MIME authentication and central management of access.

Encryption

One of the functions of the Employee eID is end-to-end encryption. The encryption used is RSA with an option for elliptic curves.

Write e-prescription

For healthcare personnel, the Employee e-ID can be used against Helsenett. Doctors can write e-prescriptions and make searches against Kjernejournal.

Home office

The employee eID can be used for a secure home office solution and set up by the IT department as a VPN connection.

Administration of Employee e-ID cards

Local e-ID station

Commfides offers a local onboarding station, a comprehensive handling system with local production of Employee e-ID. The system is tailored to an e-ID’s lifecycle and makes it easy and secure for the company to produce and manage Employee e-ID locally.

Central location

The e-ID station is placed centrally in the company and consists of a PC, scanner, printer and PIN pad. The office must follow certain physical and digital security requirements as part of Commfides' certification.

e-ID operators

The company's administrative personnel undergo practical and theoretical training to become certified e-ID operators. After certification, they can produce and deliver Employee e-ID to employees from the e-ID station.

The risks of using personal BankID to sign corporate agreements

In many companies, it has become common to use a personal e-ID in the role of employee, even though BankID only identifies the person using it, not the organization they represent. When private and professional roles are mixed in this way, legal grey areas related to responsibilities, authorizations and documentation can arise.

Most of the time, this works just fine. However, challenges can arise much later, for example in the event of disputes, audits, bankruptcy or when an employee leaves. If a signature is disputed, it may be the person who signed who has to explain and prove that:

  • the signing took place during the employment
  • the intention was to bind the company to the agreement
  • the person had a valid power of attorney to sign at the relevant time

The fact that an agreement is signed with a personal BankID does not necessarily mean that it is invalid. However, it can make the evidence unnecessarily unclear in retrospect, and the responsibility ends up in the wrong place.

An Employee e-ID is a personal credential linked to the professional role the employee has in the company. The certificate is legally linked to the employer, and the Employee e-ID is owned by the company. When an agreement is signed with Employee e-ID, all parties can be confident that the digital signature represents the employee in his or her role – and that the company is actually bound by the agreement.

Frequently asked questions about Employee eID

An increasing number of public services from the state, county and municipality are wholly or partly online. An electronic ID confirms that you are who you say you are, and is currently required to access these services.

Employee e-ID is a personal e-ID owned by a company and which identifies the company and the employee. The digital ID is located in a chip on a plastic card. The employee can use it to log in to the PC or to public digital services. It can also be used to sign documents.

Technically, the Employee e-ID is a digital certificate, a data file that contains information and a confirmation of your and the company’s identity. The identification process, which includes checking passports and a callback procedure for the company, is important because it is the basis for this confirmation.

Identity theft is a growing societal problem. If fraudsters gain access to your digital identity, it can in the worst case lead to your bank account being emptied. And for a company, there can be major consequences if unauthorized persons gain access to internal systems.

If an employee uses a private BankID to log in in a work context, it makes both the person and the company vulnerable to fraudsters. Employee eID is safer for both the company and the employee.

An Employee eID from Commfides can be used to log in to public services, but not to log into the bank. ID theft thus becomes less attractive, and both your money and your company’s data are more secure.

The principle of not using a private e-ID in a work context is also enshrined in the legislation, specifically in section 19 of eForvaltningsforskriften. Among other things, it states that use of the employee’s eID requires special approval.

Medium-sized and large companies often have several departments with different needs in terms of security, access and digital signing. By adding an Employee e-ID to the access card, you can tailor both physical and digital access for employees in relation to their roles in the company.

With an Employee eID, the employee can be identified with a connection to the company and log in to over 1,500 public services. Employees will also be able to use their eID to log in to services as a private individual, such as Altinn and NAV.

The e-ID portal is a free and user-friendly tool for companies that use Employee e-ID in their daily work. It provides a complete overview of which people have an Employee eID in the company and makes ordering, renewal and administration easy.

In the e-ID Portal, you can order both Employee e-ID and Business certificates as needed and keep track of your certificates. The portal also shows the status of deliveries and invoices, and gives access to revoke or renew certificates.
